Scenario brief
You are a graduate trainee and as part of your training with the organisation you have shadowed line managers and in particular you have analysed and evaluated the Performance Management system and the role of the manager. To complete the training you have to write a 2000 word report for senior HR managers.

Task

Using the theory discussed in module write a 2,000 word management report based on the scenario brief. The report should identify the role of the manager in:
• Developing and supporting individuals and teams
• Identifying issues that may affect individual and the team performance
• Identifying and resolving underperformance
Suggested Format; informal report using the following headings:

Background:

Provide an outline of the importance of Performance Management to the organisation and the employees. Stress the importance of the role of the manager in the process, including development and support and the manager’s role in identifying performance issues in the team. Make sure that you:

• Discuss the importance of the relationship between management and staff in the Performance Management process
• Describe the manager’s role in Performance Management process and identifying performance issues in the team, giving examples of the types of situations which may arise.

Performance Management Process and Evaluation of Performance:
Discuss the process of Performance Management. Include an overview of ongoing review, the appraisal process and their use in practice as development tool. Show how setting objectives and action planning help to improve performance. Make sure that you:

• Describe the methods that can be used to monitor and evaluate individual and team performance and behaviours
• Identify the limits of responsibility for dealing with individual and team performance

Managing poor performance

Show how managers should deal with perceived underperformance of an employee, including the stages that would lead to disciplinary action. Make sure that you:

• Identify the range of approaches and resources available to aid an investigation into underperformance in order to identify the performance gap.
• Describe how to conduct a performance counselling session for an individual
• Describe the range of methods and approaches available in providing help and support in order to improve performance of an individual
• Discuss the importance of an action plan to address a performance issue
• Explain why records of action plan achievements and actions taken are required
• Explain the circumstances when disciplinary and grievance procedures may be invoked
• Explain how to ensure that the desired outcomes are achieved
• Explain the importance of maintaining confidentiality
